What you need to know when renting a car

Renting a car is very simple, but since many people do not do it regularly, we have tried to explain a few things here.

General

  • Rate: If you rent a car, this costs a certain rate per period. This rate includes driving a number of free kilometers. If you drive more than this number, you will pay a surcharge per extra kilometer.
  • Insurance: All cars are all risk insured (in-house). In case of damage or theft, however, a deductible is charged per claim. The amount depends on the type of vehicle, age of the renter/driver and the circumstances in which the damage occurred. The amount of this deductible can be reduced for a given premium, but it does not have to be. Personal accident passenger insurance is included as standard and therefore costs nothing extra.
  • Rental period: At HuurMij, a day is 24 hours (excluding weekend freight). A 1-hour extension is possible by mutual agreement. If you rent a car for a day at, say, 14:00, it must be returned by 15:00 the next day.

Before the car rental

First of all, it is wise to book a rental car. On the one hand, to avoid disappointment due to the desired car not being available and, on the other hand, to speed up the process during car pickup.
You can easily make a booking request through this site, where you'll also be able to see the cost of the rental and any extras. You can also e-mail this overview to yourself first without making a request.

What we want to know with a booking request:

  • Name and address details
  • Phone number
  • E-mail address
  • Date of birth
  • Desired car rental class or type
  • Rental period
  • Pick-up location
  • Whether you are going abroad with the rental car

After we receive the request, we will schedule it and, if you wish, you will receive a confirmation via e-mail that includes the deposit that you must pay when you pick up the rental car.

Picking up the rental car

When you come to pick up the car, we will ask to see your driver's license and passport or ID card. A copy of the driver's license is scanned by us, whereby the document number is not visible, and it is stored locally and encrypted with us and therefore not accessible to unauthorized persons.
We then complete the missing data to create a complete rental agreement. You will be asked if you want to lower the deductible in case you return the car with additional damage after the rental period. Also, if there are additional drivers, or if you want to rent additional facilities, we will put this on the contract and how the deposit is met.

All agreements made will appear on the rental agreement:

  • Details of renter and any (additional) drivers
  • Make, type and license plate number of the rental car
  • Fuel type
  • Agreements on any damages
  • Rental period and time of return
  • Domestic/international
  • Odometer, free kilometers and rate for additional kms
  • Rates for rental and any extras
  • Deposit and method of payment
  • Deductible in case of damage/theft
  • Signature of lessor and renter/driver
  • Rental conditions

The rental agreement must be signed by both parties.
After the administration and deposit are taken care of, we go to the rental car and check it for any damage already present, the fuel content and odometer are noted and any explanations will be given. The damages are digitally stored by us and after signing, an e-mail is immediately sent to you with the condition of the car and the damages already present.
The car is provided with a full fuel tank.

During the rental

Should anything happen during the rental period, such as breakdown or damage, this should be reported to us as soon as possible so that we can do everything possible to get you back on the road quickly. Information, explanations and emergency numbers are always present in the car as well, as the green insurance card, damage report form and a copy of the registration certificate.
If you are going abroad, you need to think of any extra provisions that are mandatory for the country of destination, such as environmental or toll sticker, fire extinguisher, reflective vests, hazard triangle, etc. Of course we can help you with this.

Returning the rental car

The car can be returned at any time, including after closing. The key can then be thrown into the special key safe. However, you remain responsible for the car until we are able to inspect the car within 2 hours of the location opening.
Our rental cars always come with a full tank. Fuel consumed during the rental period is not included in the rental rate or free kilometers, but is entirely the responsibility of the renter. We therefore ask you return the vehicle fully refueled.
Upon return, the car is further checked for odometer, condition of the car and any damages. A summary of this will also be sent to your e-mail address.
We draw up a final invoice that is also mailed. Any remaining deposit will be transferred to your bank account by us within 3 business days.
